Attachments Finance Committee Meeting 2/11/2009 12:50 PM 2009 PS-Paver Department:Finance Department, Fleet Management Caption:Approve the acquisition of one asphalt paver/finisher for the Public Services Department Maintenance Division. Background:The Public Services-Maintenance division is requesting the purchase of a new asphalt/finisher machine to replace an older 1985 model, asset number 032004. This older machine is extremely undependable and outdated creating severe down time and high maintenance costs for the county. Public Services is responsible for paving and maintaining many miles of roads throughout Augusta. The new paving machine would allow the paving crew to expedite their paving projects in a more efficient and safer manner. Analysis:Fleet Management submitted a request for bids through the Procurement Department utilizing the Demand Star electronic bid system which offers nationwide bid coverage. The Procurement Department received quotes back from two (2) local vendors. Review of bids received shows the following results: Tractor and Equipment of Augusta, Georgia = $293,932.00; Yancey Brothers = Bid deemed non-compliant by the Procurement Department. Financial Impact:The machine will be purchased for $293,932.00. Funding for the procurement of this equipment will be provided by the Public Services- Maintenance Division. These funds were approved in Phase IV of the SPLOST and are available for this purchase Alternatives:1. Approve the award to the lowest and only bidder, Tractor & Equipment Company of Augusta, Georgia 2. Do not approve the request. Recommendation:Approve the acquisition of one asphalt paver/finisher for the Public Services Department - Maintenance Division from Tractor & Equipment Company of Augusta, Georgia for $293,932.00 (lowest bid offer on bid 08-214).
